4. Artificial Intelligence and Automated Processing

Certain RKWL features use artificial intelligence, automated analysis, and third-party processing services to generate reports, assessments, summaries, and other requested outputs.

When you use these features, information necessary to perform the requested operation may be transmitted to an AI or technology service provider acting on behalf of RKWL.

RKWL does not authorize its service providers to use Customer Data to train general-purpose artificial intelligence models except where expressly agreed with the applicable customer or otherwise disclosed.

We seek to limit information transmitted to third-party processing services to information reasonably necessary to provide the requested functionality.

Information associated with an operation, assessment, itinerary, report, or other saved Platform record may be retained as part of that record.

RKWL uses administrative, technical, and organizational safeguards designed to protect information appropriate to the nature of the Platform and the information processed.

These measures may include encryption in transit, authentication controls, authorization and role-based access controls, database access controls, organizational data-isolation mechanisms, server-side management of sensitive credentials, logging, and other security measures.

RKWL evaluates and improves its security practices as the Platform develops.

No information system or method of electronic transmission can be guaranteed to be completely secure. Accordingly, RKWL cannot guarantee absolute security.

9. Data Retention

RKWL retains information for as long as reasonably necessary to provide and operate the Platform, maintain customer accounts, fulfill contractual obligations, protect Platform security and integrity, comply with legal requirements, resolve disputes, enforce agreements, and support legitimate business purposes.

Retention periods may vary depending on the type of information, the applicable customer relationship, contractual requirements, security requirements, backup practices, and applicable law.

When information is no longer reasonably required, RKWL may delete, anonymize, or otherwise dispose of it in accordance with applicable requirements and RKWL's data-management practices.

An applicable customer agreement may establish additional or different retention and deletion requirements.

10. Cookies, Authentication, and Similar Technologies

RKWL may use cookies, browser storage, authentication tokens, and similar technologies necessary to authenticate users, maintain sessions, provide security functionality, remember settings, and operate the Platform.

RKWL may also collect limited usage or analytics information to understand Platform performance, reliability, and feature usage.

RKWL does not use the Platform to serve third-party behavioral advertising.

11. Privacy Rights

Depending on your location and applicable law, you may have rights concerning certain personal information, which may include rights to request access, correction, deletion, or a copy of certain information, or to object to or restrict certain processing.

These rights are not absolute and may be subject to legal exceptions.

Where RKWL processes personal information on behalf of an enterprise customer, the customer's organization may be responsible for responding to certain privacy requests. In those circumstances, RKWL may direct the request to the applicable customer or assist that customer as appropriate.

Requests may be submitted to info@rkwlgroup.com. RKWL may take reasonable steps to verify the identity and authority of a person making a request before fulfilling it.

12. Children's Privacy

The Platform is intended for professional use by adults and is not directed to individuals under 18.

RKWL does not knowingly collect personal information directly from children through Platform account registration. If you believe personal information from a child has been submitted improperly, contact info@rkwlgroup.com.

13. Third-Party Services

RKWL relies on third-party technology and information providers to provide portions of the Platform.

Depending on the functionality used, these providers may support services such as hosting, databases, authentication, artificial intelligence processing, mapping and geocoding, weather, traffic, events, payments, communications, analytics, or other Platform functionality.

Information transmitted to third-party providers may also be processed according to applicable agreements with RKWL and, where applicable, the provider's privacy terms.

The specific providers used by RKWL may change as the Platform develops.

14. Business Customers

When RKWL provides the Platform to a company or other organization, RKWL may process certain personal information on behalf of that customer.

The organization may determine what information its authorized users submit, who may access that information, how the Platform is used, and how long certain information should be maintained.

Where applicable, the organization's agreement with RKWL may contain additional privacy, security, data-processing, retention, or deletion requirements. If such an agreement conflicts with this Privacy Policy regarding RKWL's processing on behalf of that organization, the applicable agreement will govern to the extent required.

15. Changes to This Privacy Policy

RKWL may update this Privacy Policy as the Platform, our practices, service providers, or legal requirements change.

When appropriate, we may provide notice of material changes through the Platform, by email, or through another reasonable method.

The “Last Updated” date identifies the current version of this Privacy Policy.

The Privacy Policy is a notice describing RKWL's privacy practices. Where appropriate, users may be asked to acknowledge that they have had an opportunity to review it.
